Overview

Joining the team at our EMEA HQ at Bourne End, the Team PA provides effective, efficient and flexible administrative support to his or her assigned Directors and other Senior Leaders as required.  This involves arranging travel itineraries, scheduling meetings using various types of media, taking responsibility for meeting logistics, including conference facilities, refreshments, and interfacing with third party service providers, and collecting data and preparing reports with limited direction.  In addition to directly supporting 3 Directors, works flexibly as part of PA team providing varied support as required to leaders

Responsibilities

Essential Duties and Responsibilities:

 

  • Provides personal administrative support to 3 assigned Director and Senior Director level leaders, forming an effective and efficient part of the administration team
  • Calendar management for leaders as required; arranges and coordinates travel reservations and itineraries, including required visas
  • Responsible for meeting planning and logistics, including conference facilities, video-conferencing, equipment, refreshments and interfacing with 3rd party vendors
  • Co-ordination of internal and external meetings including issuing agendas, collating presentations, taking minutes and tracking actions
  • Manages expense claims and purchase orders where required
  • Collects data and prepares ad-hoc reports and presentations with limited direction
  • Identifies areas for improvement; recognises, initiates, implements simple improvements of work processes

Qualifications

 

  • Experience in an administrative role, in a PA capacity supporting more than 1 Director level leader at a time
  • Substantial experience of working effectively within a complex, global structure – technology or other specialized industry experience would be advantageous.
  • A proven team player; supportive of others and flexible in terms of working within and outside of remit.
  • Excellent verbal and written communication skills/effective listening skills
  • Organised and able to work to deadlines, with extremely keen attention to detail
  • Accustomed to working with sensitive information and understands the required level of discretion
  • Able to work collaboratively with all levels of the organisation and customers
  • Proactive and agile with demonstrable ability to prioritise
  • Advanced knowledge of Word and Powerpoint; Intermediate knowledge of Excel
